Privacy Policy

Effective Date: 15 January 2025

At DataDevix, we take your privacy seriously. This document explains how we handle your information when you visit our site, sign up for courses, or interact with our natural language processing education programs.

We're based in Australia, which means we follow the Australian Privacy Principles under the Privacy Act 1988. But honestly, we'd protect your data carefully regardless of where we operate.

What Information We Collect

Information You Give Us Directly

When you register for our NLP programming courses or contact us, we collect basic details like your name, email address, phone number, and sometimes your educational background. We need this to communicate with you about course schedules, send learning materials, and answer your questions.

If you're enrolling in paid programs starting in autumn 2025, we'll also collect billing information. Payment processing happens through secure third-party providers—we don't store full credit card numbers on our systems.

Information We Collect Automatically

Like most websites, ours gathers some technical data when you visit. This includes your IP address, browser type, device information, and which pages you view. We use this to understand how people navigate our site and where we can make improvements.

We also track things like how long you spend on certain pages—not to be nosy, but because it helps us figure out if our content is actually useful or needs reworking.

How We Use Your Information

Primary Uses:

We use your data to run our education programs effectively. That means sending course confirmations, sharing learning resources, notifying you about schedule changes, and providing technical support when you need it.

We also analyze aggregated data to improve our curriculum. For example, if lots of students struggle with a particular NLP concept, we might redesign that module or add extra practice exercises.

  • Processing course registrations and managing your enrollment
  • Sending important updates about your learning program
  • Providing technical assistance and answering questions
  • Improving our teaching methods based on feedback
  • Meeting legal obligations under Australian education standards

We occasionally send emails about upcoming courses or new content we've developed. You can opt out of these anytime—just click the unsubscribe link at the bottom of any marketing email.

Sharing Your Information

We don't sell your personal information. Period. That's not our business model, and it never will be.

We do share data with specific service providers who help us run our programs:

Service Providers We Work With

Our payment processor handles transactions securely. We use a learning management system to deliver course content. Our email service sends you important notifications and updates.

These companies only access what they need to do their job, and they're contractually required to protect your information.

Legal Requirements

Sometimes we're legally required to disclose information. This might happen if there's a court order, or if we need to prevent fraud or protect someone's safety.

We'll always notify you if this happens, unless we're legally prevented from doing so.

International Data Transfers

Most of your data stays within Australia. However, some of our service providers operate servers overseas, particularly in the United States and European Union.

When data goes offshore, we make sure it's protected by appropriate safeguards. This includes using providers who comply with recognized international privacy frameworks and have strong security practices.

Under Australian law, you have the right to know when your data leaves the country and how it's protected abroad. If you want more specific details about where your information is stored, just ask us.

Your Rights and Choices

Australian privacy law gives you several important rights regarding your personal information:

Access Your Information

You can request a copy of the personal data we hold about you. We'll provide this within 30 days, usually sooner. There's no charge for reasonable requests, though we might ask you to verify your identity first.

Correct Inaccurate Information

If something we have on file is wrong—maybe we misspelled your name or have an old phone number—let us know and we'll fix it promptly.

Delete Your Data

You can ask us to delete your information, and we'll comply unless we have a legitimate reason to keep it. For instance, we need to retain some records for tax purposes or if you're currently enrolled in a course.

Making a Privacy Request: Email us at help@datadevix.com with "Privacy Request" in the subject line. We'll get back to you within one business day to confirm we received your request and let you know what happens next.

Restrict Processing

In certain situations, you can ask us to limit how we use your data. This doesn't mean we delete it, but we won't actively process it except for specific purposes you agree to.

Opt Out of Marketing

You can unsubscribe from promotional emails anytime. We'll still send you essential course-related communications, but we'll stop sending marketing content.

How We Protect Your Information

Security isn't just a checkbox for us. We use industry-standard encryption for data transmission and storage. Our systems are regularly updated and monitored for vulnerabilities.

Access to personal information is restricted to staff members who genuinely need it to do their jobs. We use strong authentication measures and log all access to sensitive data.

  • SSL/TLS encryption for all data transmitted to and from our website
  • Encrypted storage for personal information in our databases
  • Regular security audits and penetration testing
  • Staff training on data protection and privacy practices
  • Secure backup systems with encrypted archives

That said, no system is completely foolproof. If we ever experience a data breach that affects your information, we'll notify you promptly and explain what happened and what steps we're taking.

How Long We Keep Your Data

We don't keep information longer than necessary. Here's roughly how long we retain different types of data:

Course Enrollment Records: We keep these for seven years after you complete or leave a program. This is partly for accreditation purposes and partly because former students sometimes need transcripts or certificates years later.

Marketing Contact Information: If you've only signed up for our newsletter but never enrolled, we'll delete your information after three years of inactivity.

Website Analytics: We retain aggregated usage data for two years, then delete it. This data is anonymized anyway, so it doesn't identify you personally.

Financial records get special treatment. We're required by Australian tax law to keep transaction records for seven years. After that, we securely delete them.

If you request deletion of your data and we don't have a legal reason to keep it, we'll remove it within 30 days.

Cookies and Tracking Technologies

Our website uses cookies—small text files stored on your device. Some are essential for the site to work properly. Others help us understand how people use our site.

Essential Cookies

These keep you logged in and remember your preferences. Without them, you'd have to re-enter information every time you switch pages. We don't need your permission for these because they're necessary for the site to function.

Analytics Cookies

These help us understand which pages are popular, where people get confused, and what content might need improvement. The data is aggregated and anonymized—we can see that 50 people visited a particular page, but we can't identify who those individuals were.

Marketing Cookies

We don't currently use these, but if we do in the future, we'll ask for your explicit consent first.

Most browsers let you control cookies through their settings. You can block all cookies if you want, though this might affect how our site works.

Children's Privacy

Our programs are designed for adults. We don't knowingly collect information from anyone under 18 without parental consent.

If you're under 18 and interested in our courses, please have a parent or guardian contact us. They'll need to provide consent and may need to manage your enrollment on your behalf.

If we discover we've accidentally collected information from someone under 18 without proper consent, we'll delete it immediately.

Changes to This Policy

We update this privacy policy occasionally to reflect changes in our practices or legal requirements. When we make significant changes, we'll notify you by email and post a notice on our website.

Minor updates—like fixing typos or clarifying existing practices—won't trigger a notification, but we'll update the "Effective Date" at the top of this page.

We keep previous versions of this policy archived, so if you want to see what changed, just ask.

Complaints and Concerns

If you're unhappy with how we've handled your personal information, please let us know. We take complaints seriously and will investigate thoroughly.

First, contact us directly at help@datadevix.com. We'll acknowledge your complaint within two business days and aim to resolve it within 30 days.

If you're not satisfied with our response, you have the right to lodge a complaint with the Office of the Australian Information Commissioner. They're an independent government body that oversees privacy compliance.

OAIC Contact Information:

Website: www.oaic.gov.au

Phone: 1300 363 992

They can investigate complaints and help resolve privacy disputes if we can't sort things out directly.

Questions About This Policy?

If something here is unclear or you have specific questions about your data, we're happy to help. Privacy policies tend to be written in formal language because they're legal documents, but we're real people who can explain things in plain terms.
